Only Touch an Email Once

Need more time? Feel like you are not getting anything done? Too much email? For many of us email is a huge time waster. Part of that is quantity, part of that is efficiency. One of the best ways to combat the email avalanche is to only touch each email once. I spoke with a Senior Executive at my company back at the leadership conference I attended and he told me that he only works 40-45 hours a week. One of his biggest times savers is this rule. Here is how you do it.

  • Read the email and immediately respond
  • If you can’t immediately respond because additional work is required, flag it for later.
  • If you’ve read the email and it is not flagged, never read it again
  • Don’t file every email. Search is good enough to find what you need faster then looking in your filing system.
  • Best of all, if it really is important and you miss it, people will follow up with you. If they don’t, the topic really wasn’t that important.
  • Thats it. Do these things and you will take back control of your email.
